Scan to Storage

Scan to Storage is part of Vasion's Simplified Scanning framework, which streamlines document capture by combining a consistent user interface for both cloud and on-premises storage locations with secure, centralized scanning workflows.
Scan to Storage allows the end user to scan a physical document on an multifunction device (MFD) with the Vasion Print Control Panel Application (CPA) or with their mobile phone with the Vasion app, and then they can share that file with the following:
- Scan to Network: Send files to designated on-premises network drives or shared folders, keeping files in your local environment and supporting internal security policies.
- Scan to Personal (Cloud): Send files to your personal cloud storage folders, such as Google Drive, OneDrive, and SharePoint, keeping your scanned documents private and stored separate from shared company folders.
- Scan to Shared (Cloud): Send files to a cloud storage shared location of your choice, such as Box, Google Drive, OneDrive, and SharePoint.
Key Points
Scan to Cloud supports shared drives and personal drives. You configure shared drive connections with preset scan locations, which appear on the CPA for authorized end users. With personal drives, you create the integration in the Admin Console, which provides the end user with the option to connect and authenticate to their personal drive at the CPA. Review the following key points:
- Scan to Storage supports secure, authenticated access and encryption for files in transit and at rest.
- The Simplified Scanning report contains audit information for jobs sent using these features. For more details refer to Simplified Scanning Report.
- Scan to Network uses a service-level account to write files to the network destination.
- Scan to Personal (Cloud) supports Google Drive, OneDrive, and SharePoint.
- Scan to Shared (Cloud) supports Box, Google Drive, OneDrive, and SharePoint.
- The end user must have permission to access the cloud or network destination folder to retrieve their scan.
With Scan to Network, scanned files never leave your internal environment. Files are sent from the printer to a local Service Client, which temporarily stores and then uploads them to the designated network folder. Nothing is stored on the printer or in the cloud, keeping all documents securely on-premises.
Requirements
Review the following requirements:
- Opt in to the Unified Login experience. For more details refer to Unified Login Experience, or contact your Vasion representative.
- The Vasion Print Mobile Scan feature does not require CPA installation.

Scan to Personal (Cloud) requires you to turn on the Enable higher security option, which is supported by Printer Apps v25.2.1 and later. You can find this setting by going to Tools
Settings
General and scrolling down to the Control Panel Application section.- Simplified Scanning might not function on devices that do not support Transport Layer Security (TLS) 1.2 or later. For more details refer to Transport Layer Security (TLS) Settings.
- Configure Global Scan Settings in the Admin Console.
- Create the scan destination folders prior to configuring the global settings.

Scan to Cloud currently integrates with OneDrive, SharePoint, Google, and Box. Within those providers, you can set preset file destinations for specific departments or user groups based on their typical scanning needs. Your end users can simply scan to the exact folders they need. For example, a Legal team can scan NDAs, legal forms, contracts, and client information to specific folders assigned that are only visible to their team.
Not yet. OCR functionality will be supported in a future release of Simplified Scanning. At that time, users can convert their scanned documents into searchable and editable text to improve the searchability and accessibility of documents saved in cloud storage locations
There is no maximum file size set when scanning. However, if the file exceeds the amount of storage space available in the cloud storage folder or exceeds the limits set by the administrator, the file will not upload. Check the maximum file size for the cloud storage provider you use.
After you have scanned your document(s), wait a few minutes. You will receive an email from Vasion letting you know the file was scanned successfully, with an attachment of the file ready to download.
