SAP Steps

Last Updated: October 27, 2026

SAP steps connect a Business Process workflow to SAP S/4HANA Public Cloud. Use SAP steps to automate accounts payable (AP) tasks, such as validating an invoice against a purchase order (PO) before you post it.

Key Points

Review the following key points:

  • Each SAP step performs one action in SAP, such as finding a PO or posting a supplier invoice.
  • SAP steps appear in the Step types panel after an administrator adds the SAP integration.
  • Each step passes its results to later steps in the workflow.

How SAP Steps Work

An SAP step runs when the workflow reaches the step on the canvas. The step sends a request to SAP S/4HANA Public Cloud through the SAP integration and returns the result to the workflow. Later steps use that result as input. For example, Get Purchase Order Detail uses the PO that Find Purchase Order returns.

SAP steps fall into two groups. The following steps retrieve information from SAP:

  • Find Purchase Order: Searches SAP for POs.
  • Get Purchase Order Detail: Retrieves the details of a PO.
  • Get Goods Receipts for PO: Retrieves the goods receipts recorded for a PO.
  • Get Prior Invoices for PO: Retrieves the invoices already entered for a PO.
  • Get Supplier: Retrieves supplier information.
  • Get Invoice Status: Retrieves the status of a supplier invoice.

The following steps write supplier invoice data to SAP:

  • Create Supplier Invoice: Creates a supplier invoice in SAP.
  • Post Supplier Invoice: Posts a supplier invoice in SAP.
  • Link Source Document: Attaches a workflow source document to a supplier invoice in SAP.

The following example shows an AP workflow that validates an invoice against a PO and posts it:

Requirements

In addition to the general Requirements, SAP steps require the following:

  • The SAP integration added to your organization.
  • Connect your SAP account in your account integrations. Refer to Account Integrations.

Other Relevant Details

SAP steps work with the other Business Process workflow steps. The following steps commonly pair with SAP steps:

  • Intelligent Document Processing: Extracts invoice data, such as the PO number, before the SAP steps run.
  • Conditional Logic: Routes the workflow based on SAP results, such as whether Find Purchase Order returns a match.
  • Split and Merge: Run SAP steps in parallel and then combine the paths.
  • Email: Notify users of the outcome.
