Background Workflow Trigger
Last Updated: May 21, 2026
A background workflow trigger automatically starts a workflow after a print job completes. This system-level trigger requires no action from end users and runs in the background of your print environment.
Key Points
Review the following key points:
- You assign background workflows at the fleet level in the Admin Console.
- Individual printers can override or be excluded from the fleet-level assignment.
- You can apply conditions to filter which print jobs trigger the workflow, such as document type, user group, printer, or page count.
How a Background Workflow Trigger Works
You configure a background workflow trigger in the workflow builder by selecting Background Workflow as the event type. No additional trigger configuration is required.
When a print job finishes, the trigger activates and sends the job to the assigned workflow for later processes, such as archiving.
Use Cases
Use a background workflow trigger when you need to do one of the following:
- Automatically capture and archive print activity across your organization.
- Apply consistent automation after every qualifying print job, without requiring end user action.
- Reduce storage costs by limiting processing to jobs that match your criteria.
Requirements
Review these Requirements before you start.
In addition to the general requirements, background workflow triggers require the following:
- The Background Workflow Trigger option must be turned on in the Admin Console.
