Form Step

Last Updated: October 25, 2026

A Form step collects information from a user in a Business Process workflow. The workflow does not advance until the assigned user submits the form.

Key Points

Review the following key points:

  • Use a Form step to collect information from a user at any point in a workflow.
  • Each Form step has one assignee. The same user receives the form every time the workflow runs.
  • Data from the submitted form is available to later steps, such as Approval, Email, and Conditional Branch steps.

How the Form Step Works

When the workflow reaches a Form step, the assignee receives a task that contains the form. The assignee completes and submits the form, and the workflow then moves to the next connected step.

A Form step is different from a Form Submission trigger. A Form Submission trigger starts a workflow when a user completes a form. A Form step collects additional information after the workflow starts.

Later steps use the submitted data. For example, an Approval step uses a previous Form step as its source, and an Email step can add form data to the subject or body.

If the assigned user leaves the organization or changes roles, use Make a Copy to create a new workflow with the updated assignee.
