Barcode Recognition

Set up Barcode Recognition to process a Barcode Configuration process on all the documents in a Vasion storage location.

Requirements

Before you create the Barcode Recognition automation, you must already have a Parent Folder created in the storage location. For details, see Parent Folders.

To create a new Barcode Recognition automation you must configure:

  2. Build Barcode Recognition

1. General Settings

  1. In the Automation app select Barcode Recognition in the side navigation.
  2. Select the + New Barcode Recognition button.

  3. In the General tab, enter the name for the new automation in the Schedule Barcode Name field.
  4. If you have an on-premises instance of Vasion, you may enter a value on the Run On Machine filed otherwise leave blank.

    The value in this field determines the server used to run the automation and is only required where there are multiple Vasion clients and/or client services running for the environment.

  5. Use the Perform drop-down to select the frequency you want the automation to run. The next fields that display depend on what you select here.
    1. Once — select this option to only run the automation once. The next field display updates to Start Date. Enter the date in the format shown or select the Calendar icon Calendar icon. to pick the date.
    2. Daily — select this option to run the automation every day. The only remaining option is the Start Time.
    3. Weekly — select this option to run the automation once a week. The next field updates to Weekdays. Use the drop-down to select one or more days of the week by selecting the appropriate box.
    4. Monthly — select this option to run the automation once a month. The next field updates to Months. Use the drop-down to select one or more months by selecting the appropriate box.
    5. Frequency — select this option to run the automation at a specified time interval in minutes.
      1. In the next field, enter the number of minutes for the time interval.
  6. In the Start Time, enter the time of day to run the automation in the format shown or select the Clock icon Clock icon. to pick the time.
  7. If the Monthly option is selected, a Day of Month field is shown. Enter the day of the selected month(s) when you would like to run the automation.

2. Build Barcode Recognition

  1. Select the arrow next to Build Barcode Recognition to expand the section.
  2. Select Browse to select the folder where the documents are stored. Once selected the folder name displays in the Process Folder field.
  3. Select the Include Subfolders box if you want to process documents stored in any subfolders within the selected folder.

  4. Select the Move Completed Documents box if you would like to move the documents after barcode recognition scan completes. When this box is checked, complete the following:
    1. Select the Browse button and select the new location where you would like to store the documents. The folder selected displays in the Completed Documents Folder.

  5. Use the Object drop-down to associate object metadata to the barcode.
  6. You can also select from the following options. When one option is selected other options can become inactive.

    1. Use Barcode Splitter — select this option to split the document every time it recognizes a barcode.
    2. Read Barcode — select this option to record the barcode data as metadata.
    3. Delete Original Document — select this option if you would like to delete the original document once it's processed and if you're moving the document.
    4. Create New Document — select this option if you would like to create a new document based on the barcode configuration.
    5. Burst on Page Number — select this option to split the document based on page number. When this option is checked, enter the page number where you would like to split the document.

    6. Read First Page Only — select this option to only scan the first page of the document for barcode recognition.
    7. Keep Barcode Page — select this option to save the page where the barcode is located, if that is the only data on the page.
    8. Use Barcode as Value Name — select this option to use the barcode value as the name of the document.
    9. Barcode on Last Page — select this option if the barcode is on the last page of the document. This option is only available if the Use Barcode Splitter option is checked.

  7. If you would like to include a prefix in the file name when splitting documents, enter the prefix value in the Prefix field.

  8. Use the Splitter Option drop-down if you would like to only split the document if certain criteria is met. Depending on the option selected, you need to complete additional fields.

    1. Range Value — specify a value range to use as a basis for comparison to split the document. In the Value From field enter the starting range and in the Value To field enter the ending range.

    2. Start With — specify the starting value of the barcode you want to use to split the document. Enter the value in the Value(s) field and select the + button. You can enter more than one value.

    3. Values — specify the value of the barcode you want to use to split the document. Enter the value in the Value(s) field and select the + button. You can enter more than one value.

    5. Value Changed

Permissions

You can change who can see or edit the automation by assigning user or group permissions. If you leave all users and groups in the left column, then the automation can be seen by all users and groups by default.

  1. Select the Permissions tab at the top of the screen.
  2. Select the users and / or groups you would like to have permission to access the automation and select the right arrow button Right arrow icon..
  3. Add or remove all users or groups by selecting on the Add All or Remove All buttons above each column.
  4. Select Save.

The roles that a user has can also limit which users can see and run this job. See Roles for more information on what roles do and how they may affect what you are trying to do.

When the configuration is complete, select Save at the top of the page to save your automation and run automatically based on the specified settings.
