Links & Accounts for Signature, Workflow & Form Requests
Last Updated: October 27, 2026
Email links for signature requests, workflow tasks, and forms stay valid until they expire or a sender resends the link. External users can create an account from the link. After users complete the request, they can sign in to the same account later.
This topic explains email links for recipients and for admins who control whether external users must create a password. Each signature request, workflow task, or form is a request.
Key Points
Review the following key points:
- A link remains valid until it expires or the sender resends it.
- When a sender resends a link, the new link replaces only your previous link. Other users' links are unchanged.
- You can create an account from a link. After you complete the request, you can sign in to the same account later.
- Vasion Automate does not require a password by default. An admin can require a password for all external users.
- A link that you open in a new browser tab asks you to sign in, even if you have already signed in on another tab.
How Links Work
When someone sends you a signature request, workflow task, or form, Vasion Automate emails you a link.
A form that you share with its external URL does not use these links. Users who open the form with the external URL do not need an account, and Vasion Automate saves responses anonymously. For more details refer to Create a New Form.
Link Expiration
A link remains valid for seven days or until a newer link replaces it.
When a link is no longer valid, you cannot open the request, and the Link Expired page appears.
Replacement Links
When a sender resends a link, the new link replaces your previous link. You cannot use the previous link to open the request.
This replacement affects only you. Other users' links for the same signature request, workflow task, or form are unchanged.
After You Complete a Request
Completing a form or a signature request does not affect the link's validity. Reopening the same valid link does not create another form response or signature request. Instead, the link for a completed form or signature request opens one of the following pages:
- For a completed form: The Your response is no longer needed page displays "No further action is required."
- For a fully signed document: The Document signed page displays "This document is fully signed. Use the Download menu above to save a copy."
- For a document not fully signed: The Signature submitted page displays "Your signature is in. Waiting on the remaining signers before this document is finalized."
How Accounts Work
An account lets external users retain access to their work instead of relying on only a link. An external user can create an account for the organization that sent the request by entering a password on the Create a password page. The account uses the email address from the invitation. After the user completes the request, the user can sign in to the same account later.
Create a Password
If you open a link and do not have an account, the Create a password page displays the following:
- The email address from the invitation.
- The message "Create a password for this account. You will use this email and password to sign in later."
- The Create password & Sign in button.
If the Require a password setting is turned off, you can select the Skip for now button to open the request without creating a password.
If the Require a password setting is turned on, the Skip for now button does not appear. You must create a password.
The Create a password page appears each time you open the link unless you create a password.
If you already have an account for the organization that sent the request, whether you created the account from a link or had the account before you received the link, you can sign in instead of creating a password.
If you open a link in a new browser tab, the link asks you to sign in, even if you have already signed in on another tab.
If you open a link in a tab on which you have already signed in, the link does not ask you to sign in again.
Account Creation
An admin uses the Require a password setting to determine whether external users must create a password before opening a request:
- If Require a password is turned on, users must create a password before opening a request.
- If Require a password is turned off, users can open a request without creating a password.
The setting is turned off by default and applies to all external users, not to an individual signature request, workflow task, or form.
Requirements
Review the following requirement:
- A Vasion Automate account with the Admin or Root role.
