Roles & Permissions
Last Updated: April 07, 2026
Roles and permissions control what users can view and do in Vasion Automate. A role is a collection of permissions that defines a user's level of access to one or more apps. You assign roles to individual users or groups to apply consistent access across your organization.
Key Points
Review the following key points:
- Only Application Admins can create, edit, and assign roles in Vasion Automate.
- Vasion Automate includes three default roles that cover the most common access needs. You cannot edit or delete default roles, but you can copy them and edit the copy to create a customized version.
- Custom roles let you define specific permission sets that address your organization's needs.
- You can assign roles to individual users.
- You do not manage Print and Output permissions here. You manage those permissions in the Admin Console in Vasion Print.
How Roles & Permissions Work
The Roles and Permissions page shows all available roles in your Vasion Automate instance. Each role entry shows the role name, a brief description, whether it is a default or custom role, and the apps it applies to.
Vasion Automate uses two types of roles:
- Default roles: These built-in roles provided by Vasion Automate cover the most common access patterns. You cannot edit or delete these roles. However you can copy a default role and use it as the starting point for a custom role.
- Custom roles: You create these roles to define specific permission sets for your organization. You can edit custom roles and assign them to users and groups at any time.
Each role defines access at the app level. When you view a role, the access level assigned to each app appears: Full access, Partial access, or No access. You can expand each app to view individual permissions.
If your organization used an earlier version of Vasion Automate, roles might be prefixed with "Temp" in the Name column. These roles were automatically generated during the transition to the Roles & Permissions system to preserve existing user access. You can edit Temp roles and delete them after you review them and transition users to appropriate roles.
