Output Rules Workflows

Last Updated: July 02, 2026

Output Rules is a Virtual Appliance Output tool that automates print and workflow behaviors according to predefined criteria. With this feature you can easily create and manage the routing of documents across your environment with rule-based automation, leading to increased efficiency, accuracy, and reliability in print and workflow tasks. Output Rules enhances control over all outputs and behaviors within a print environment, like routing all specific document types to a particular printer or rerouting a job in case of a device outage.

Key Points

The benefits of Output Rules include:

  • Direct, granular control over where print jobs are going and how they're printed.
  • Protect business-critical processes with additional redundancy, high availability, and failovers to ensure seamless operations.
  • Automatic redirection during connectivity issues, printing specific job types.
  • Archiving digital copies of printed forms or records for auditing purposes.
  • Supports Virtual Appliance Output features, including API Cloud Link and the API Print Service.

The Virtual Appliance Output solution requires additional licensing. It unifies large-scale applications or high-volume printing systems with Virtual Appliance. Gain more granular control and visibility over your environment within a unified platform, improving security practices and compliance with industry regulations while creating more efficient workflows.

About Output Rules

A rule consists of the following components:

  • Trigger: A specific event the system identifies to initiate the defined process and perform the necessary action(s). Triggers are predefined and available from a drop-down list.
  • Condition: The criteria or requirements for applying the rule. The condition can encompass various components or events.
  • Action: The action is the intended outcome executed when the rule is acknowledged.

All three components are required to create a rule. You can easily create a rule using our intuitive interface that walks you through the configuration of each component.

Rule Order

Rules run in the order they appear in the Output Rules tab. When a trigger occurs, the system evaluates each rule in sequence and applies the first rule whose conditions match the file. Reorder rules as needed to ensure the system evaluates them in the correct order for your environment. Refer to Reorder Rules for reorder instructions.
