Web Print

Web Print provides a secure solution for guest printing. The user navigates to a web page, uploads their document, and prints without needing to install software or drivers on their device. This feature ensures the security of your print environment while automating the printing process for guests.

Key Points
Review the following key points:
- Web Print requires additional licensing. Contact your Vasion representative for more information.
- The Virtual Appliance Host build 22.0.1049 and Application build 20.0.2786 and later support Web Print.
- Web Print uses the same logo as the Self-service Portal.
- You can configure the Web Print Portal to require authentication for internal users.
- When using authentication Web Print works with Quota Management to track printing usage and enforce limits.
- If you turn on guest printing, the user prints using their email and a release code.
- Web Print supports, Pull Print, Direct Secure Release, and Delegated Release. For more details refer to Secure Release Print.
- The printers you designate for Web Print do not work for normal Secure Release Print with prompts. Prompts appears when using Web Print, but devices do not show the prompts.
How Web Print Works
Web Print does not require the Agent, printers, or drivers installed on devices, making it an excellent solution for student printing and bring your own device (BYOD) environments.
The user accesses the Web Print Portal using the URL, uploads their documents, and selects from the available printers. Then the user enters their email address and receives an email with instructions and a code to release the job at the printer. If you have Delegated Release turned on, the user can select which delegates can release the job when they select the printer.
For this configuration the printer requires the Control Panel Application (CPA) installed and the Secure Release Print feature turned on.
You can grant users the ability to automatically release print jobs.
Printing Formats
Web Print supports the following formats:
- Images: BMP, GIF, JPG, PNG, and TIF.
- Microsoft Office: DOC, DOCX, PPT, PPTX, XLS, and XLSX.
- Microsoft Visio: VDX, VSD, and VSDX.
- OpenOffice and LibreOffice: FODP, FODS, FODT, ODP, ODS, and ODT.
- Documents: PDF.
- Text: CSV, RTF, and TXT.
Logo
The logo that appears in the Web Print Portal is the same logo that you upload in the Portal Settings in the Admin Console. You can access the Portal Settings by going to Tools

Reports
The Print Job Records report includes users printing with Web Print:
- The source is defined as Web Print.
- The user information for authenticated users appears.
- Guest emails start with "guest_".
Requirements
Review the following requirements:
- Web Print requires additional licensing. Contact your Vasion representative for more information.
- Configure Simple Network Management Protocol (SNMP) for your instance.
- Add print-api.app.<Instance_FQDN> to your firewall rules. For more details refer toRequirements & Supported Environments.
- The Service Agent must be running the Internal Routing Service (IRS) or the ONCP app installed on the Web Print printers.
- You must turn on and configure ONCP for the selected printers. For more details refer toOff-Network Cloud Print (ONCP).
- For authenticated users to release Web Print jobs at the printer or if you turn on Allow Guests, you must install the CPA 2.0Secure Release Print feature.
- Some Fujifilm devices require a PS module to use the Web Print feature.
CPA Secure Release Print
To allow guests to print, individually install Secure Release Print using the printer's Apps tab, or bulk install using the CPA Manager. Note the following:
- You can install Secure Release Print and Web Print at the same time using the printer's Apps tab.
- If you use the CPA Manager, install Secure Release Print first, and then add Web Print using the Modify option.
Secure Release Print Settings
The release prompt that appears when a user prints differs depending on how you configure the Secure Release Print settings for the printer. You select from the following options:
- No: Jobs print immediately and cannot be held.
- Yes (Always): Jobs automatically hold and require the user to release them.
- Yes (Prompt): The user is prompted to select either Hold or Print Now.
You can change the default by going to Tools
Settings
Printing, scrolling down to the Pull Printing section, and changing your selection in the Default per-printer Secure Release settings menu. To change the setting at the printer level, go to the printer object's Printing tab and change your selection in the Allow secure release jobs to be sent to this printer menu.
Review the following about the Print Now and Hold options:
- Authenticated users
- The Print Now option immediately prints the job.
- The Hold option requires the CPASecure Release Print feature installed on the printer if no other option is used, such as the mobile app, the Release Portal, etc.
- Guest printing
- The Print Now option immediately prints the job.
- The Hold option requires the CPASecure Release Print feature installed on the printer.
