Print To Workflow

Print To Workflow enables end users route documents into Vasion Automate workflows directly from the print dialog (Ctrl+P or File > Print). When a user prints to the Send To Vasion Automate object, the Vasion Print Client captures the document, converts it to PDF, and submits it to the selected workflow without producing a physical print.

This connects everyday print activity to automation, allowing documents to trigger approvals, archival, compliance processes, or other downstream workflows the moment they are printed.

The following are important things to know about Print to Workflow:

  • Documents submitted through Print To Workflow are not physically printed. The print action routes the document to a workflow instead.
  • Users select which workflow to start from a dialog that appears after they select Send To Vasion Automate.
  • Only workflows that are published, active, and configured with a Print Capture Document Event trigger appear in the workflow selection dialog. Users see only workflows they have View permissions for.
  • Deployment in the tree structure controls who sees the workflow object in the print dialog.
  • Vasion Automate workflow permissions separately control which specific workflows a user can execute. These are two independent permission systems.
  • All workflow submissions are logged in Vasion Automate with user, printer, timestamp, and submission status information.

Common Use Cases

Users in document-intensive roles can select Send To Vasion Automate from the print dialog to route a document (e.g., such as a contract, intake form, or purchase order) directly into an approval or archival workflow. No separate upload or manual routing step is required after printing.

How It Works

When a user selects Send To Vasion Automate in the print dialog and confirms the print action, the Vasion Client intercepts the document and converts it to PDF. A workflow selection dialog appears, displaying the workflows available to that user. The user selects a workflow and the document is submitted to Vasion Automate along with metadata including user identity, printer information, job title, and timestamp.

Vasion Automate receives the document through the Print Capture Document Event trigger and begins executing the workflow. If the workflow includes steps that require user interaction, a browser window opens to the Vasion Automate session so the user can continue.

If Vasion Automate is unreachable or the workflow fails, the user receives an error notification and the event is logged. Because the document is not physically printing, there is no fallback print destination.

Requirements

Before end users can use Print to Workflow, confirm the following:

  • Access to the Vasion Automate console, with permissions to Print and Workflow.
  • You have at least one published workflow:
  • Send To Vasion Automate object deployed to your users.
  • End users must have View permissions for a workflow before it shows as an option in the print dialog.
