ServiceNow Integration
Last Updated: May 19, 2026
ServiceNow Integration connects Vasion Print to your ServiceNow instance, automatically syncing printer asset data into the ServiceNow Configuration Management Database (CMDB). When a printer is added or updated in Vasion Print, the corresponding asset record in ServiceNow updates during a sync, eliminating manual data entry, reducing errors, and keeping your CMDB current without ongoing admin effort.
For enterprise IT teams that manage their entire infrastructure in ServiceNow, this integration brings printer assets into the same system of record as all other managed devices.
Key Points
- Once connected, Vasion Print automatically pushes printer asset data to the corresponding Configuration Item (CI) record in ServiceNow whenever a sync is initiated.
- The following fields are synced to ServiceNow: printer name, IP address, MAC address, serial number, make, model, and firmware version.
- Serial number, or a custom field Asset ID, is used as the unique identifier to prevent duplicate CI records in ServiceNow. Serial number is populated automatically via SNMP where available, or can be entered manually.
- Both standard end-user printers and label or output printers are supported for sync.
- When a printer is decommissioned or deleted in Vasion Print, admins can configure whether the corresponding ServiceNow CI is marked as inactive or simply stops receiving updates. ServiceNow records are not deleted automatically by default.
Common Use Cases
Printer Asset Sync to ServiceNow CMDB
IT teams that rely on ServiceNow as their system of record can use this integration to keep printer assets accurate and current in the CMDB automatically. Instead of manually exporting printer data and re-entering it into ServiceNow, admins configure the integration once and printer records stay in sync in real time. Including firmware versions, status, and page counts without any ongoing manual effort.
Firmware Version Tracking for Security and Compliance
Firmware version is included in the synced asset data, giving security and compliance teams visibility into which printers are running outdated or default firmware directly within ServiceNow. This supports vulnerability tracking and security audits without requiring admins to cross-reference separate systems.
Printer-to-Technician Mapping
Once printer assets are accurately represented in the ServiceNow CMDB, admins can map printers to specific technicians or departments within ServiceNow. When a printer-related incident is created, ServiceNow can route it to the appropriate technician automatically based on that mapping, reducing manual triage and speeding up resolution.
How It Works
After an admin configures the ServiceNow integration in Vasion Automate, it establishes a connection to the ServiceNow instance using the provided URL and credentials. Authentication is handled via OAuth or API credentials managed by the admin.
When a printer is added or updated in Vasion Print, the integration pushes the updated asset data using the ServiceNow Import and Reconciliation (I&R) API. ServiceNow reconciles the incoming data against existing CI records using the printer's serial number to match records and prevent duplicates. If no matching CI exists, ServiceNow creates a new record. If a match is found, the existing record is updated.
By default, the integration stops sending updates to the corresponding ServiceNow CI when a printer is removed from Vasion Print. The CI record is not deleted automatically.
Requirements
Before you configure the ServiceNow Integration, confirm the following:
- You have administrator access to Vasion Automate.
- You have a ServiceNow instance URL.
- Either OAuth credentials or API credentials with the appropriate Role-Based Access Control (RBAC) role in ServiceNow to authorize the integration.
- SNMP is configured on your printers, or serial numbers are available to enter manually. Serial number or Asset ID is required for duplicate prevention during sync.
