This is a glossary of terms commonly used when working with Vasion.

An administrator has access to those application functions that manage the way in which their Vasion instance is set up and configured for their organization. They have access to a range of functions not available to other users.

Advanced Image Processing (AIP) is a feature that allows Administrators to set up image processing based on Zonal OCR, Barcode, and Zonal OMR.

The process of assigning access to Vasion apps at a user or group level.

A specification that defines a property of an object. See also metadata.

Record and tracking of changes around the signature process that shows who did what and when.

The function of verifying rights and permissions access, or privileges, to resources.

A set of features that allows you to easily digitize analog content. You can automate the data capture process, enable intelligent OCR capture, track document history details, and support MFD, mobile and browser-based scanning.

A digital verification that contains information identifying the entity as legitimate.

Agreement to be legally bound by the e-signing of the document and the Vasion Terms of Service that is required to complete the e-signing process.

An optional view of the form that is being processed through a workflow. It is a more open representation of the form than the Document View.

A certificate that guarantees the document has not been tampered with after all parties have signed. [[[Undefined variable Variables.VasionMT]]] uses Sectigo.

An eSignature (electronic signature), or digital signature, lets people sign documents online, instead of using pen and paper. eSignature is widely recognized as legally binding in the European Union, the UK, the United States, Canada, and many other areas of the world.

A folder is a storage container used to organize documents that are entered into the system. Folders must be created for organization and for searching since it is a common method to search for like documents.

A form is a customized group of Object Fields. A form allows efficient capture and search of data and can be integrated into workflows and 3rd party applications.

A legal framework that sets guidelines for the collection and processing of personal information for individuals in the European Union.

A group is a list of users who have similar capabilities, access security, or workflow processes. Permissions for access to Vasion can be assigned to the group, which will then pass those permissions down to all users assigned to it.

A physical computing device that safeguards and manages secrets (most importantly digital keys), performs encryption and decryption functions for digital signatures, strong authentication and other cryptographic functions.

An identity provider (abbreviated IdP or IDP) is a system entity that creates, maintains, and manages identity information for an organization that can be authenticated by a computer system or network. It is referred to as a security principal in Java and Microsoft literature. IdP also provides authentication services to relying applications within a federation or distributed network.

An Initiator is the individual who starts a workflow or signature process or is identified as such in an automated process.

An instance is a collection of services and service groups that is associated with a customer. A customer's instance is created from an application template and is then deployed to a cloud or virtual server.

A status that can be assigned to a document. When Legal Hold has been assigned, the document cannot be deleted or moved from its current location.

A company that remotely manages a customer's software services or printer services, like installing, managing, and maintaining printers, and supplying consumables.

Data providing information about one or more aspects of the data which can be used to make tracking and working with specific data easier. See also attributes.

An Object is a group of related fields that can be applied to a document, workflow or form. The object fields are used to capture and index data that can be used to create forms, map to a document, and/or assign to a workflow.

An Object Field is a data field associated with an object for the purpose of gathering and indexing data. Object fields are displayed on forms for users to enter the requested data, mapped to documents to create digital forms and used in workflows to assign tasks.

Optical Character Recognition (OCR) is the electronic conversion of images of typed or printed text into machine-encoded text. This allows for easier reading and searching of content.

Optical Mark Recognition (OMR), also called optical mark reading, is the process of capturing human-marked data from document forms such as surveys, tests, product evaluations, time sheets, etc. They are used in the form of lines or shaded areas.

Parallel Routing gives users the ability to route workflow items to multiple users at the same time and avoids bottlenecks and delays.

An optional view of the form that is being processed through a workflow. It is a representation of what the document will look like as a PDF document. It is similar to the Document View in that it is a more compact representation of the form compared to the Data View.

Any representation of information that permits the identity of an individual to whom the information applies to be reasonably inferred by either direct or indirect means. Further, PII is defined as information: (i) that directly identifies an individual (e.g., name, address, social security number or other identifying number or code, telephone number, email address, etc.) or (ii) by which an agency intends to identify specific individuals in conjunction with other data elements, i.e., indirect identification. Additionally, information permitting the physical or online contacting of a specific individual is the same as personally identifiable information.

A set of roles, policies, hardware, software and procedures needed to create and manage public-key encryption.

The role or group of users that are required to sign a sent document.

The Signature App enables digital signatures, can route documents for multiple signers, ensure digital signatures are binding, support internal and external users, and make any document digital signature ready with custom zones.

A signer is defined as someone that is required to sign a form during the process of a workflow. These signers could be internal or external users.

A Signing Order is defined as the order in which users will sign the document. This allows a specific order that a document must flow for signatures. It's commonly used in approval processes.

The Storage App allows you to store content and / or securely manage content wherever it’s stored.

A Subfolder is a storage container that can be added to a Folder for more granular break-down of like documents.

A Task is something that has been assigned to a user or a group that requires them to perform an action. Tasks are listed in a user's Workspace and will remain there until their assigned action is completed.

A Timestamp is an option that can be used in conjunction with a Signature. Having this option selected will add a timestamp on each signature when it is applied during the workflow process.

A unique identifier for the intended user that provides security credentials to login, identifying the user and permissions or privileges for signing a specific document.

A token is used in addition to or in place of a password. It acts like an electronic key to access the application. A token can be associated with a user or a group of users.

A standard for identifying servers, printers and other resources in a network. A UNC path uses double slashes or backslashes to precede the name of the computer.

A user profile identifies an authorized person who has access to Vasion and is assigned to each user to assist with setting passwords, changing passwords, and assigning permissions for access to storing and retrieving documents.

A predefined list of permissions that can be assigned to a user. These permissions are what determines what a user has access to within Vasion.

A required role so that a user can view documents in a read-only state.

A wildcard is a special character that represents one or more other characters, commonly an asterisk (*). It is often used in searches, so you don't need to type the full term. For example, when searching for data that starts with "Ps," simply searching for "Ps*" to locate all content.

A defined sequence of processes and tasks that can automatically route information to collect approvals, assign tasks and complete documents.

The Workspace app lets you see all your pending or completed Task items you have been assigned and any requests you created. These workflow items may be tasks assigned to you or to a group in which you are a member.

The configuration of an area or field within a document that can be used to apply specific functionality, such as placing a signature, use advanced image processing, etc.
