Storage Metadata

Vasion Storage automatically captures and shows origin metadata for every file in the system, regardless of how it entered. Whether the file was printed to storage, scanned, or uploaded, its metadata is recorded and appears as read-only information in the Details section when viewing the file.
How Metadata Is Captured
The method of capture depends on how the file entered Vasion Storage:
- Printed and scanned documents: Metadata is received from other Vasion-owned services when the file is stored.
- Uploaded files: When you upload a file to Vasion Storage, the system automatically captures metadata. All files in a bulk upload share the same upload timestamp and uploader information.
Metadata Fields
The following information appears for each file:
- Created date.
- File size.
- File type.
- Page count.
- Last modified date.
Depending on the type of file and the source, additional metadata fields might appear.
- Source
- How the document entered Vasion Storage: Print, scan, or upload.
- Creator
- The user who printed, scanned, or uploaded the document.
- Printer Name
- The printer used. Print source documents only.
- Computer Name
- The computer on which the print job originated. Print source documents only.
If a field is not available for a file, a dash appears in its place.
View Metadata
Follow these steps:
- Select Storage from the left-side navigation.
- Double-click a file to view it.
Metadata appears in the Details section. All fields are read-only. Users with view permission for a file can view its metadata.
Search by Metadata
Metadata is integrated into the existing Vasion Storage search experience. You can search by metadata fields without any additional configuration. No special syntax is required. Search results indicate whether a match was found in the file content, the file metadata, or both.
